How to Add and Manage a Calendar Event

Parents can add events to the Family Calendar.

An event should tell the family:

  • What is happening
  • When it starts
  • When it ends
  • Where it happens
  • Who needs to know
  • What reminder is useful

Children can see events shared with them, but only parents create or edit events.

Quick Start

  1. Open the Family Calendar.
  2. Create a new event.
  3. Add the event name.
  4. Choose start and end date and time.
  5. Add the family member or members.
  6. Add location and notes if useful.
  7. Add a reminder.
  8. Save and check the Calendar.

Exact button placement should be verified.

Add a Clear Name

Use a name the family understands.

Good examples:

  • Maya soccer practice
  • Dentist appointment
  • Family game night
  • School open house
  • Dinner with grandparents

Avoid vague names:

  • Event
  • Appointment
  • Important
  • Family thing

The Calendar does not use event colors or categories, so the name should carry the meaning.

Set Start and End Date and Time

Events require start and end timing.

There is no all-day option.

For a full-day activity, use a practical start and end time and explain the details in Notes.

Check:

  • Correct date
  • AM or PM
  • Start before end
  • Time zone when traveling
  • Enough travel time

Choose the Family Members

An event can be visible to:

  • The whole family
  • One member
  • Selected members

Choose only the people who need the event.

Example:

Event: Orthodontist appointment
Members: Ava and one parent

Event: Family movie night
Members: Whole family

Add a Location

Use Location for:

  • Address
  • School
  • Practice field
  • Clinic
  • Restaurant
  • Meeting place

Keep the text simple.

Confirm whether the current app links the location to a map before saying that it does.

Add Notes

Use Notes for information such as:

  • What to bring
  • Contact person
  • Pickup plan
  • Clothing needed
  • Parking details
  • Confirmation number

Avoid placing private information where more family members can see it than necessary.

Add a Reminder

Choose a reminder that gives the family time to act.

Examples:

  • 10 minutes before a video call
  • 30 minutes before practice
  • One hour before an appointment

Events do not support separate parent and child reminders for the same event.

Use the member visibility and one practical reminder.

Review the Saved Event

After saving, confirm:

  • Name
  • Start and end
  • Family members
  • Location
  • Notes
  • Reminder
  • Recurrence, if any
  • Google Calendar source, where relevant

Check the event from the normal Calendar view.

Edit an Event

Edit when:

  • Time changes
  • Location changes
  • Notes change
  • Members change
  • Reminder changes
  • The event name needs clarity

For a recurring event, choose:

  • This and future
  • Full series

One occurrence cannot be edited alone.

Delete an Event

Delete when:

  • The event is canceled
  • It was created by mistake
  • It is a duplicate
  • The full recurring series ended

For recurring events, confirm whether the deletion applies to this-and-future or the full series.

Review the warning before saving.

Example

Event: Soccer practice
Start: Tuesday, 5:30 PM
End: Tuesday, 6:45 PM
Members: Maya and Parent
Location: Community field
Notes: Bring water and blue jersey
Reminder: 30 minutes before

This gives the family enough information without creating a long event record.

Check the selected members.

The event time is wrong

Check date, AM/PM, and end time.

The event appears twice

Check Google Calendar sync and recurring settings.

A child cannot edit the event
